Erdington Litter Busters Constitution (6-2-2023)
The group shall be known as "Erdington Litter Busters"
This is a community group open to all who live in the Erdington constituency or who have an interest in the well-being of Erdington and its residents and who share our objectives.
Our objectives:
to care for Erdington and improve the lives of its residents by keeping the area clean and green.
to tackle the causes and symptoms of litter on our streets and green spaces.
to bring together and connect our community, creating an environment and opportunities where residents feel valued and take pride in where they live.
to continue to develop and deliver initiatives which improve the local environment through activities which promote and support the need to connect residents to their community.
to liaise and collaborate with local agencies and community groups in the area to support a welcoming environment.
Membership
A Core Group will be formed from members who live within the Erdington constituency. Other residents may be nominated by a Core Group member to join the Core Group and a vote will be taken. A majority vote is required.
Duties of the Core Group members:
to actively support and promote the day to day running of ELB.
to actively support aspects of projects being run by ELB through the acquisition of different funding streams.
to attend meetings to discuss and vote on agenda items.
Three Officers will be elected from the Core Group through an annual majority vote by Core Members. These are
Chair Person, Secretary and Treasurer
Duties of the Office Holders
Chair Person:
Being chair-person at regular meetings including the AGM and arranging for the minutes to be taken. (These will usually be completed by the Secretary)
Having the deciding vote in the event of a tied voted.
Calling an Office holders meeting as required.
Promoting the objectives of Erdington Litter Busters.
Delegating tasks to ensure a continuing growth of involvement from our membership in the variety of projects taken on by Erdington Litter Busters.
Treasurer:
Keeping accounts of all monies acquired by the core group, including donations, contributions and through funding applications paid directly into ELB bank account.
Ensure all funds are utilised effectively and that the group stays within budget.
Review and share accounts with Core members at meetings once every two months.
Preparing a full breakdown down of accounts to be submitted for the AGM.
Secretary:
Taking minutes at meetings.
Keeping a record of all minutes.
Sharing the minutes with the Core Group members.
Collating an agenda for meetings and sharing in advance
Meetings
These should take place once every 2 months or before if there are any specific issues which need to be discussed and/or reviewed and actioned.
An Annual General Meeting (AGM) will be held which will be open to all members. A member is 'a person who has signed up as an adoptee/active litterpicker and has borrowed ELB equipment'.
A meeting will be considered quorate if there are a minimum of three (3) members one of whom is the Chair, or their delegated representative, for that meeting.
Alteration of the Constitution
Any changes must be agreed by a majority vote of Core Group Members and Office Holders at a special general meeting.
Amendments to this constitution or dissolution of the Core group must be conveyed to the Secretary formally in writing.
Dissolution
The core group may be dissolved if deemed necessary by a majority vote of Core Group members at a special meeting that should be held no earlier than three months after a decision to dissolve has been proposed.
Any assets or remaining funds after debts have been paid shall be returned to their providers or transferred to local charities or similar groups at the discretion of the Core group.
